This notice is for qualconnect.com.au and the QualConnect product. It follows the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Who we are
QualConnect is software for qualitative recruitment agencies. It is operated by Software Symphony Pty. Ltd. (ABN 35 114 191 276) from Waverley, NSW, Australia.
Write to hello@qualconnect.com.au.
Two kinds of information
If you visit this website, request a walkthrough, or sign in as staff, we decide why that information is collected. That part of this notice is ours.
If you are on an agency's panel, complete a screener, or receive a booking message, the agency that holds your record decides why it is collected. That agency should have its own wording on the screener or the invitation. We host the record for them. We do not use panel records to market QualConnect.
What we collect
From this website: what you type into the walkthrough form — name, agency, email, and anything you choose to add — and ordinary request logs (IP address, browser, and the page you asked for). We use the form only to reply. On these public marketing pages we also use Google Analytics to see how many people visit and which pages they open. We do not add you to a newsletter, run advertising, or take payment card numbers here.
From people who sign in: name, email, which agency they belong to, their role, the settings they choose, and any feedback they send us. Owners and administrators may also give us a mobile number used only to approve incentive payments. Connection keys the agency pastes are stored encrypted and used only to send that agency's own mail, texts, and eGifts.
From an agency's panel and jobs: contact details, date of birth, location, and the answers, bookings, messages and payments the agency records. Screener questions are the agency's. Some answers can be sensitive. We store what they collect; we do not add questions of our own.
If you filled in a public recruit form or screener, write to the agency named on that page. If you cannot find them, write to us and we will pass the request on or tell you who holds the record.
Why we use it
To reply to walkthrough requests, keep the site up, stop spam, let people sign in, run the desk they licensed, send the messages and payments they authorised, and improve the product from feedback.
Panel records are used only to provide that agency's desk. We do not sell personal information.
Who else sees it
We use other companies to host the product, hold the database, handle sign-in, send platform mail, measure visits on the public marketing pages (Google), and — where an agency has connected its own accounts — send that agency's job email, SMS and eGifts. The in-desk assistant may be shown job context already on that agency in order to answer a signed-in person. Those companies only get what they need for that job.
Agency staff see the records on their own desk. We do not show one agency another agency's panel. While an agency is still on trial, outbound messages may be redirected to platform operators instead of the intended person, so we can check the product before live sending.
Overseas disclosure
The application is served from Sydney. Some of the companies above store or process information outside Australia, including in the United States. That is how the service is provided.
Cookies
We use cookies and similar storage to keep you signed in, remember language and appearance, keep a screener preview on the desk, and — on the public marketing pages only — to measure visits with Google Analytics. Sign-in may set a cookie on this host even on public pages, because it shares the same site.
We do not use advertising cookies. The desk, screeners and recruit links do not load Google Analytics. There is no cookie banner because there is no advertising tracker to consent to.
How we look after it
Access to the desk is behind a sign-in. Agency data is separated by tenant. Keys are encrypted at rest. The site is served over HTTPS.
Walkthrough notes are kept while we need them to reply. Accounts last while the person has access, then for a short period if we need to resolve a dispute. Panel records last until the agency deletes them or the licence ends, after which we delete or return what we hold, unless the law says we must keep a copy. Server logs last a short operational period.
No internet service is perfectly safe. If we become aware of a breach that the Privacy Act requires us to notify, we will.
Access, correction and deletion
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Write to hello@qualconnect.com.au. We will answer within a reasonable time. If the record belongs to an agency, we will usually need that agency to action it, and we will say so.
We may refuse a request where the Privacy Act allows it — for example if it would unreasonably affect someone else's privacy — and we will say why.
Complaints
Write to us first. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.
Changes
If this notice changes in a material way we will update this page and change the date at the top.
